How to Update Your Proposal Strategy for the Age of AI

 

To stay competitive, here are practical adjustments you can make:

 

Build Proposals for Both Human and Automated Review

  • Use section titles exactly as they appear in the solicitation.

  • Follow the numbering structure provided in the RFP.

  • Present compliance information clearly through tables, lists and well-organized content.

 

Use Consistent Terminology

  • Mirror the language used by the agency whenever possible.

  • Avoid switching between different terms for the same concept.

  • Maintain consistency throughout the proposal to improve clarity and alignment.

 

Conduct Automated Compliance Checks Before Submission

  • Use AI-powered review tools to identify missing requirements, formatting issues or inconsistencies.

  • Perform a final manual review to ensure the proposal fully addresses customer needs.

  • Verify every fact, statistic and claim before submission.

 

Prioritize Accessibility and Readability

  • Submit machine-readable documents whenever permitted.

  • Avoid relying on image-based PDFs that are difficult for automated systems to analyze.

  • Use standard fonts, headings and document structures to improve accessibility and readability.
